If you contact me

When you email or phone me, I receive your name, your contact details and whatever you choose to tell me, such as your website address.

I use this to reply to you and, if you'd like, to look at your website and talk about work. I keep it only for as long as I need it.

If you use the contact form

The form asks for your name and email address, which I need in order to reply. Your website address and your message are optional.

Netlify, who host this site, receive what you send and pass it on to me by email at hello@cleartop.london. A copy is also stored in my Netlify account.

The form includes a hidden field that you will never see. Automated spam software fills it in, which tells Netlify to discard the message. It has no effect on you.

I keep what you send for as long as we are in conversation, and delete it once it is no longer needed. You can ask me to delete it sooner.

If I've written to you

Before writing to a practice, I look at information the practice has published itself, most often its own website and its UKCP profile. I note the practice name, the contact name, the practice address, and what I found when I searched.

I use this to send you a letter about how your website shows up in search. I do this on the basis of legitimate interests, because I think it's reasonable to write to a business about its website using details it has made public. Every letter states plainly where I found your details and how to ask me not to write again.

A print and post company called ModernMail prints and posts my letters, so it handles your name and address for that purpose. ModernMail keeps that information for up to three months and is registered with the Information Commissioner's Office.

If I don't hear back within 30 days of sending my letter, I delete your details, except that if you've asked me not to contact you, I keep your name and practice address on a short do not contact list, so it doesn't happen again by mistake. Everything else is deleted either way.

Cookies and analytics

This site uses Google Analytics, but only if you accept it. It tells me how many people visit, which pages they look at, roughly where they are, and how they found the site. It doesn't tell me who you are.

If you accept, Google Analytics sets cookies whose names start with _ga. These last up to two years unless you clear them. Google Analytics is set to keep this data for 14 months.

If you reject, no analytics cookies are set. Either way, the site remembers your choice in your browser, so it doesn't ask you every time.

You can change your mind at any time using Cookie settings at the bottom of any page.

Who else handles your information

Netlify hosts this website and processes basic technical information, such as IP addresses, the number that identifies your internet connection, to deliver pages securely. Google provides Google Analytics. Namecheap provides my email. ModernMail prints and posts my letters.

Some of these companies may store data outside the UK, including in the United States.

Your rights

You can ask me for a copy of the information I hold about you, ask me to correct it or delete it, or object to me using it. If you email hello@cleartop.london, I'll reply within one month.

If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
